There are several key factors to writing an appropriate letter that will get you one step closer to setting out on your trip.

Make It Personal

Don't go with a generic letter. Remember that people want to stand with YOU! Share what is in your heart and what is going on in your life. It might be too much to personalize the letter for every person you reach out to but at least make it sound like you. We will provide some examples later on. However, be sure to make them yours by changing them up a bit!

One personalization that you can make for each letter is stating their name. Instead of beginning with an all-encompassing greeting, make it personal to them. When you speak, use words that make them feel like they are part of the mission too, because they are!

Another touch of personality could be adding your favorite verse to the end of the letter. There are also powerful verses you can use that relate to the situation at hand. Some of these might include verses about prayer, challenges, spreading the word or other unique topics.

Include All the Details

Never skip out on the details! People want to know exactly what they are supporting. Let them know all the details about your trip including where you are going and when you are going.

What sort of things will you be doing to serve while you are there? Talk about the ways you hope to see God work while you are away.

Another important detail to include is your "why?" We talked about making this letter personal and there is no better way than to include what is motivating you to go on this mission trip. Explain what has called you on this mission and why you have chosen this specific time and place.

Furthermore, state what you hope to learn from   this experience . You are making an impact on others and this experience is sure to have one on you. This trip should change you and motivate you to continue the mission at home. How will this provide you with the building blocks to take it to the next step?

Be Interesting

Grab the attention of the person who is reading. The more interested and invested they are in the information you are giving them, the more they will want to support what you are doing.

You might try including some information about the community that you will be working in. What is   their culture ? What are some things you are looking forward to by visiting this particular place?

Get Creative

Remember that it's not just about monetary support. Some may not be able to give to your cause financially. But donations aren't the only way that people can be a part of your mission.

Be specific about what you would like them to pray on. Give three or four examples. Some might be:

Keep thorough records of those who contribute. The easiest way to keep track of your supporters is by creating a list. Physical paper lists are efficient but easily lost.

The first step is putting together a list of potential supporters. Many different people may be interested in partnering with you. This might include:

How to write a mission trip fundraising letter.

It’s common to feel nervous about writing fundraising letters: What will I write? Who will I send them to? These are good questions to ask, but the most important thing to remember is that your letter isn’t just about money. It is about inviting people to participate in what God is doing in the world and in you through this trip. The steps below will guide you through the process of writing, sending, and following up on your fundraising letters.

Step 1. Create a contact list.

Create a list of potential contacts. Your list can include family members, friends, family friends, school staff, coworkers, teammates, doctors, dentists, neighbors, coaches, and church members. Shoot for a list of between 75 and 100 people.

Step 2. Write your letter.

Write a personal letter requesting donations. This letter should be no longer than one page.

What to include in your mission trip fundraising letter

Introduction: Begin your letter with a personal greeting and briefly share what you have been up to recently. You should personalize this section in each letter based on your relationship with the recipient. Do not start your letter with “dear friend.”

Background: Briefly explain the purpose of your mission trip and the ways you will be serving. Share the dates of your trip, the name of the specific place you will be, and how you hope to see God work during this trip.

Explanation of need: Explain why you need financial and prayer support for your trip. First ask people to be part of your prayer support team. Then share with them the specific amount of money you need to raise and ask them to contribute.

Conclusion: Close your letter by thanking the recipient again for their ongoing support. Sign each letter personally.

My summer plans are coming together, and I am very excited to be able to share them with you. I believe God is calling me to go beyond the boundaries of [our local community] and to share God’s love with people around the world. This summer, I will have an opportunity to live into that calling. From July 18 to 25, I will be serving with [Organization] as part of a 12-person team.

Our mission team will be working with [Organization] to support and encourage communities as they go through a process of community development. We will spend several days of our trip in a village in the countryside of Nicaragua, encouraging the community members as they build sustainable agriculture, grow food in gardens, develop local leaders, and start small businesses. We will get to speak with local pastors and join them in worship and sharing the gospel. We’ll also spend a day working alongside the community as they add a room onto their school, a project that they have already begun but will finish more quickly with our team’s help. I am so excited to go and serve the Lord by caring for these people in a small but crucial way, and I can’t wait to tell you about my experiences when I return!

There are two ways that you can join in this ministry with me as I prepare to serve in Nicaragua.

  • Pray for us. Please ask God to give my team safe travel, caring and generous hearts, and the right words to minister with. Your prayers are crucial for this trip. As Oswald Chambers wrote, “Prayer does not equip us for greater works; it is the greater work.”
  • Offer financial support. If you feel called to support the work God is doing in Nicaragua, please prayerfully consider mailing or giving me a donation. I am responsible for raising the $1,500 it costs for me to go on this trip to Nicaragua. Your support will enable me to participate in this exciting opportunity. Checks should be made out to [insert church name] . All contributions are tax-deductible, and you will receive a receipt for tax purposes.

Taking part in a mission trip is an incredible spiritual experience. I am very excited to be a part of the work that God is already doing in Nicaragua, to grow in my faith, and to share those experiences with you when I return.

Thank you so much for considering supporting me through prayer and/or a financial gift. I look forward to joining God’s work around the world through my team’s mission trip to Nicaragua!

Step 3. Prepare and send your letter.

Include with your letter a self-addressed, stamped envelope and a support form for people to fill out and send back to you with a check. This form should have a place to make a prayer commitment and a place to make a financial commitment. If there is a way for people to give online, include instructions for that as well. Ask that checks be made out to your organization, not to individual team members. Otherwise, the donations will not be considered tax-deductible.

Deliver your letters to the people on your list either personally or by mail. Do not put the letters in people’s church mailboxes.

Step 4. Follow up.

After a week or two, contact the people you sent letters to and ask if they have any questions or would like more information.

Step 5. Thank your supporters.

Send a thank-you note as soon as you receive a donation from someone. Indicate in your note that you look forward to sharing pictures and stories with them when you return. Keep track of whom you have received money from. If your team is sending donor receipts, send those now as well.

Step 6. Share your trip experience with your supporters.

After the trip, send a follow-up letter telling your supporters about your experience. Thank them again for helping make the trip possible.

Additional tips for mission trip team leaders

If there are a lot of people on your team who have never written a fundraising letter before, it can be helpful to hold a letter-writing night. Gather the group, explain how to write a fundraising letter, share a template or sample letter, and spend some time writing together. Encourage team members to ask each other questions and share ideas.

Your team can also collaborate on coming up with contact lists. This can help you strategize about how to get the most support. For example, you wouldn’t necessarily want everyone on your team sending letters to the same people, and sharing your lists can ensure that you don’t overwhelm a small number of potential supporters with your letters.

That's why fundraising letters are so crucial to your mission trip preparations. Requesting prayer and financial support through a mission trip support letter can be an effective way to ready yourself for the opportunity that God has given you to do foreign evangelism.

Sharing stories and testimonials from past mission trips.

If you've been on a mission trip before, consider putting together a written presentation of the impact of that trip. That way your donors will have more than an abstract notion about "making a difference". This works even if your past mission trip was to a completely different region than the one you're preparing to go to now.

Note:  Never been on a mission trip before? The missionary organization you're working with may have material you can use to illustrate the impact others can make through their generosity. Check their website to find out.

9. Thank Your Supporters Letter

Subject: "Thank you for supporting our mission trip!"

You did it!

You successfully helped me raise $[entire trip cost] so I can take the Good News to [your destination]! Praise God!

Thank you so much for your support. This would not be possible without your love and generosity.

Now that the money has been raised, the real work is about to begin. I ask that you be my prayer partner as we make the final preparations for this trip. There is still much to do before I go, but I am excited to be able to see God move in a mighty way on the trip.

You have been a big blessing to me. I promise to share that blessing with the people in [your destination] and put your support to great use.

Every letter you send needs to express appreciation, even if the recipient doesn't send any support at all. However, you should also send a follow-up letter to every person who donated to your trip. No matter how big or small their donation, we can't let them think we take them for granted.

As you send each letter, create a social media post that corresponds with that letter. Below are some ideas to inspire you:

  • Make a post announcing your trip and asking for donations as recipients receive your first wave of letters
  • Share regular progress updates and gratitude. You can do this more frequently via social media than via letters.
  • Invite all of your friends on social media to any fundraising events
  • Post every day of the final week for the last-minute push, sharing fundraising progress as you go
  • If you get a matching donor, definitely share that in posts on all your social media accounts
  • If you have stories or testimonies to share, don't hesitate to share them in your social media campaign
  • Express gratitude and appreciation in every post along the way, but post a word of thanks at the end of your fundraising journey

  • Keep it brief  - We know you're excited to see God move on this trip. But avoid the temptation to overwhelm the readers with an avalanche of text. One page is ideal, two is the maximum.
  • Proofread it  - This letter is the most crucial part of your mission trip preparation. It needs to be great. Let others review the letter before you print dozens of copies of an avoidable mistake.
  • Share the details  - Where are you going? When is the trip? Will there be a send-off service beforehand or a mission report service afterward? How can supporters keep track of your experience? Let your readers know the important facts.
  • Share the interesting details  - Don't stop at basic facts. Let readers know unique details about the people group you will be ministering to and the cool things you'll be doing on the trip. Make it interesting!
  • Make it look great - Drafting a well-written letter is half the battle. Make it well-designed, too. Use these great Canva templates to elevate your fundraising letter design.
  • Include a self-addressed envelope  - It's a small detail, but giving the recipient what they need to send you a donation increases the likelihood that they follow through on sending financial and prayer support.
  • Financial support isn't the only option - Most (hopefully all) of your readers want to support the work you will be doing, but not all can do so financially. Let readers know they have options for how they can support you.
  • Be thankful - Whether the reader sends money, supplies, a word of encouragement, or devotes themselves to prayer, share with them how grateful you are that they would support you in any way.

How to Write a Mission Trip Support Letter

Mission trips are an amazing way to put your faith into practice, learn to serve others, and love like Jesus. For many mission trip participants, the simple act of saying ‘yes’ getting out of their comfort zone is the first step in a deeper trust in God and a willingness to step into the unfamiliar to love others well. But, this experience also comes with a cost.

To serve in an under-resourced community, you have a responsibility to cover your own costs AND invest in the community in helpful, dignifying ways. But what if you can’t afford it?

Experience Mission has sent more than 35,000 short term mission volunteers to partner and serve alongside ministries across the US and around the world, and we’ve found that personal support letters are one of the most effective ways to ask for the prayer and financial support you need to go. Sending support letters is a vulnerable step in committing to go, with faith that God will provide, but it can be intimidating to know exactly what to say. Here are 5 things your mission trip support letter should include:  

1. Make it Personal

Begin with a greeting addressing the people you are writing to. These will likely be close friends and family members, so they would love to hear how you are doing personally!

Tip: Consider the presentation of your letter. Make your support letter a fun and interesting piece of mail! Most mail we receive comes in the form of bills and bank statements, many of which are plain text on white paper. Black “Times New Roman” font on copy paper will excite people about as much as black “Times New Roman” font on copy paper can. Don’t be afraid to break outside of the traditional format. Add a picture of yourself. Add a map of the general location you’re going to with a star on your destination. Be creative, get to the point (we recommend one-page letters), and above all, be yourself!

2. Give Context

Take a paragraph and explain why you feel called to serve on a mission trip and how you selected the particular trip, organization or community. Also, explain how you are working to support yourself in this mission.  

3. Explain What You Will Be Doing

Your supporters will want to know what their money is going to. Take a moment to explain a little about what you will be working on and doing on your trip. This is an opportunity to highlight the ministries that you will be partnering with! It can be tempting to fluff or exaggerate what you will be doing in a way that makes you seem like the savior to the community. Keep the focus on the work that God, local partners, and long-term volunteers are already doing in the community. Then, explain how you’re going to support their ministry.

4. Tell What You Hope to Learn

Short term missions experiences should be long-lasting. The impact that you make in the community is about way more than just the week (or months) you are there. Similarly, your trip should change you, propel you forward, and teach you to live your mission more effectively at home. Whether you are hoping to develop a deeper faith, learn more about God’s love for others, or to put ideas of service into practice, explain how this trip will help you grow and impact your own local community in greater ways once you return home.

5. Ask For Support

In order to accomplish the goal of your letter, you’ll need to make an ask! When fundraising, it’s important to make a clear path for supporters to help your cause. You can outline a particular amount that you are hoping to raise from each person. (Think, if you send your letter to 50 people, how much would each person need to donate in order for you to be fully funded?) Also, give clear instructions for how to make a donation.

Remember, don’t just ask for monetary support! Ask your friends and family to pray for you, encourage them to join any events you will be hosting, and invite them into your journey.

Start drafting your letter and share the news with your friends and family. To make this letter even more impactful, consider waiting to make an announcement on social media until your friends and family have received the letter or heard from you personally. They will feel more invested in your journey and may get inspired to support you more. As you prepare for your trip, we’re behind you and hope it goes well!

Thousands of children were orphaned as a result. This mission trip aims to provide medical treatment to these orphaned children, most of whom have never seen a doctor. We anticipate treating 450 to 500 children. The treatment will include a complete physical, treatment for intestinal parasites and head lice (all of the children seen will be treated for these two conditions), vitamin K shots, immunization, and treatment of any other condition within the capability of the medical team. A physician and a dentist will be a part of the mission team. They are both missionaries in Guatemala. The remainder of the team will be nurses and nursing students.

The trip is being funded entirely through donations and by those going on the mission trip. Everything that will be used on the trip must be taken with us. This includes all of the medical supplies, medicines, syringes, bandages, etc. Donations of medical supplies, books, shoes, etc. are being sought. Fundraisers are being held by those going on the trip. Every penny collected will be used to directly benefit the children of Guatemala. Any unused medical supplies will be left with the missionaries.

I am excited about the opportunity to serve and minister, and I ask you to join me in ministry. I am seeking your support and prayers for this mission trip. f you are able to assist with this trip, please forward any donation to me with the check or money order payable to "MNU Guatemala Mission Trip." Upon our return from Guatemala, an accounting of all funds will be available for anyone to see.

Example support letter: Southeast Asia mission trip

Good News! God has relieved me of an uncomfortable and sometimes difficult task . . . asking for money. But God has challenged me with a ministry opportunity in Bangkok, Thailand, and Kathmandu, Nepal.

I guess you could call me a "missionary", though not in the traditional sense of giving up the comfortable life here to disappear in a remote jungle for 10 or 20 years. Mine will be a short-term journey with a team from First Christian Church from March 28 through April 10.

Our two-week trip will focus on Hindu and Buddhist cultures in an area often referred to as "the heart of darkness", where idol worship is a daily routine, and animal sacrifices are part of the ritual.

The purpose of our trip is fourfold:

  • First, we will be allowing God to work in our lives through the exposure and changed perspective that comes from this type of a mission trip.
  • Second, this is a "Prayer Journey" that takes us to foreign lands to pray "on-site with insight." We will pray that God will open the eyes and hearts of Hindu and Buddhist people to the message of Jesus.
  • Fourth, we will encourage local Christians in Bangkok and Kathmandu. Our presence will bolster their spirits and support their work to spread God's Word. We will visit many small villages in Nepal where we will develop relationships with the Christians there.

We're excited about the opportunity and experience that lies ahead, and we hope you see Kingdom value in the ministry planned for us. As you can imagine, funding for a trip like this requires financial support from a number of people. I need to raise $3,000 by March 20th.

Now, why did we say that God has relieved me of this fund-raising effort? Simply because I know I can leave that task in His hands. It's my job to go and to let you know I'm going so if you would like to support this mission financially, you can do so.

When it comes to missions, people can be active in three categories:

  • "Mobilizers" - These are the people who build the fire in their local church, keeping others informed of the needs and opportunities, and helping them get involved.
  • "Goers" - These are the ones who feel called to spend time in another culture, live a different kind of life, and minister face to face with the unsaved.
  • " Senders" - It's hard to say that one of these three groups is more important than any other, but without the "senders" not much will happen. They provide the funds--and more importantly--the prayer support. Prayer is the fuel that will allow us to be successful as we follow God's leading in ministry in these foreign countries. Without prayer, vrey little will happen.

As I said up-front, God has relieved me of the fund-raising responsibility. My job is just to let you know about this opportunity. Maybe you haven't thought of yourself as part of a "missions team" but if you want to become one of the all-important "senders", you can mail a check to: [insert church address here]

Envelopes are enclosed for your convenience. If you make your check payable to [name of church], it will be tax-deductible. Just be sure to write "Nepal" and my name on the memo line.

If you can't be a financial "sender," that's oky. Please consider being a "sender" in prayer. In fact, because prayer support is critically important to this mission, I would like to know if I can count on you in that area. Enclosed is a bookmark that you can put in your Bible, on your bathroom mirror or "fridge", or anywhere else you will see it at least once a day. Please pray daily for the areas listed.

Example support letter: Evangelism and medical work in Kenya

Dear ______,

Southway Church's upcoming trip to Kenya affords the best opportunity we have yet seen to have large numbers of people come to the Lord. The scenes of our previous trips, Spain and Mexico, were very hard fields; Kenya is much more open. I will be leading a group of 15 people (including myself) from Southway Church to Kenya this summer.

We will be going there to help our missionaries, Doctors Nate and Kim Smith, reach out from the Kijabe Medical Center. Some members of the team will help the outreach by training the staff at Kijabe in the areas of their medical specialties. For the rest of us (non-medical people) the Head Chaplain has thrown open the ministries of the Kijabe Medical Center.

We will share the gospel and God's comfort with patients at their bedside. We will sing and preach at noon evangelistic services at the hospital. Through the Mobile Health Clinics, we will take the word of God and infant inoculations to little towns where the children have never seen a white man.

We then will minister to the refugees from tribal conflicts in the settlements of the Elementaita area (specifically Oljorai) with medical work and a crusade for which we will provide the preaching and the music.

We also hope to meet up with AIM missionaries working with the Maasai tribe and encourage them in their work.

We believe that God will work in us and through us on this trip, and afterwards in the life of Southway Church. We'd be very grateful if you could support us in prayer and/or financially. The total cost of the trip is a little over $2000 per person. Though the trip doesn't leave until June 22, we have to buy tickets and make other preparations now, so we need your prayer and financial support as the Lord leads you.   • The missions involvement of the group will grow beyond their participation in the trip.

To make this trip possible, I am responsible for raising $1,800. This figure includes transportation, housing, food, insurance, and project materials. Our goal is to raise the money from individual sponsors.

Praise the Lord! He has done great things! These past several months have been a growing experience for me. The Lord has shown Himself to me in mighty ways.

When I decided to send letters out to family and friends requesting prayer and financial support for a summer on a mission field, I wondered how God would choose to touch the hearts of each of you that I placed on my support list. Would you feel led to give financially or to pray, or to participate in both? I knew that time would tell.

Just one week after sending my letters out, I received three checks in the mail. Over the next several weeks, I received many more responses containing both financial and prayer commitments. Each day I couldn't wait to run to the university commons to check my mailbox. The excitement of seeing a response thrilled me, and it still does. In just a short period of time, I had received $1,350.

I began to see God's faithfulness working. I had prayer commitments for safety, health, adjustment, spiritual growth, and much more. What an encouragement to know that people all over the world were praying for me! Just this last week I received $1,475! That means I now have only $672 left to raise before May 15. Praise the Lord!

Nursing school has been demanding this semester. However, I've taken time to meet with a small group of three other girls each week for spiritual fellowship and to pray for this summer. I have seen God's faithfulness working through each of their lives.

To prepare for overseas travel, I have had to deal with lots of details. I got my passport renewed and even got an International Driver's License. Next week I'm going to the State Health Department to get my Yellow Fever vaccine.

As our departure date nears, I am becoming more and more excited! I'm excited to meet my teammates, taste new food, learn some words in a new language -- French -- and hopefully see wild animals in Africa. And, of course, I'm excited to be able to minister to and to be ministered to by the people of Cote d'Ivoire.

Please pray for my team and for me. I have enclosed a picture card for you to post as a reminder to pray. I will be sending out an update either during July or when I return. So, keep your eye out for something special. Thanks again for your prayer and financial support! See you in August!

Writing a support letter is one of the easiest ways to get the word out about your trip. By sending out a letter to family, friends, church members and others, you are giving them the opportunity to invest in your life both spiritually and financially.

POTENTIAL SUPPORTERS:

Using the list below, begin brainstorming a list of about 50-100 people to whom you could potentially send letters. Try your best not to pre-qualify people (i.e., I doubt they'll give or They're wealthy, you know they'll give).

OUTLINE FOR SUPPORT LETTER:

As you begin writing your letter, make sure you clearly and concisely explain the purpose of the letter. Keep some of the following guidelines in mind.

Identify yourself and bring the reader up to date with what is going on in your life

Where you are living

What school you attend

What year you are in school

State the purpose of the trip

Include the location to which God has called you to serve

Share information about the partners and their ministry

Explain your personal vision for the trip

How God led you to be involved

What you will be doing

What you expect to learn from your experience

Describe your specific needs

Ask them to join you in prayer

Explain the financial support needed

Clearly explain how they can donate

HELPFUL HINTS:

Give an idea as to the size of gifts they can give - $25, $50, $100, etc.

Provide disclaimer such as any gift amount will be helpful

Gifts of $50 or more will qualify as a tax-deductible gift and should be made out to Servant Life. Be sure that your name is not on the check anywhere in order for the donation to be tax-deductible. Attach a note that states your name with your letter, so it can be mailed in with their check.

As you receive donations, do not forget to send a personal, handwritten thank you note to each supporter.

Include Bible verses that may have impacted your spiritual walk and/or show the importance of doing missions.

Send out postcards, featuring a photograph of you or the country, to supporters that give specific ways to be praying for your trip and allow them to stay connected to your ministry.

How to Create a Great Mission Trip Support Letter

How to Create the best Mission Trip Support Letter

Mission trip support letters are easy to write if you know what to include. The following are some quick tips on what to put in, what to avoid and how to share your mission trip support letter.

But first, let’s make sure you know why you’re writing your mission trip support letter. When you write a support letter, you’re doing way more than just asking for money and prayer – you’re inviting someone to participate in your trip. While they won’t be hopping in the van with you, they will be filling the vital role of providing support in your mission trip experience. Keep this in mind as you write and send your mission trip support letters.

10  MISSION TRIP SUPPORT LETTER WRITING  TIPS

1. Keep it short. One page is plenty. Two pages should be your maximum. Quality trumps quantity.

2. Make it look good. First impressions matter. If designing documents isn’t your cup of tea, find a friend who can help. Including a picture of you or your team is an easy win.

3. Proofread it. Errers are fairly noticeabl… and often avoidable. Have someone help you by reading your letter for any errors before you hit PRINT.

4. Be interesting. Share about what you are doing, the place you are going and the people you will be with on your mission trip. Don’t drag out your mission trip support letter with tons of minute details. (YouthWorks provides a Community Info Sheet for each of our communities; you might include some of those details about the community you’re headed to in your support letter.)

5. Make it personal. People want to support you ! Don’t send a generic support letter from the team when you can send a personal letter from you. While you might share some details about your team, also include what your hopes, fears and needs are.

6. Don’t forget the details. Where is the mission trip? What are the dates? What will you be doing on your mission trip? Is there a send-off service beforehand? How much money are you trying to raise? If they want to donate money, where do they send it and who are checks made out to? A great way to ask for money is to suggest a couple options for dollar amounts (e.g. “I recommend a gift of $50, $100 or $150, but of course, any amount is more than welcome.”)

You should also include whether or not donations are tax deductible. Ask your church if gifts qualify. Also, many qualifying organizations recommend that checks have nothing written on the Memo line as it can jeopardize the gift’s tax deductible status. If the gift qualifies as tax deductible you might write something like this: “Gifts are tax deductible. You can make checks out to ABC Church, but please do not write anything on the Memo line as this could jeopardize your gift’s tax deductible status.”

7. Don’t just write a “fundraising letter.” Support is so much more than people’s money. At the same time, there is nothing to be ashamed about when offering people the opportunity to be generous in supporting your mission trip. If asking for money is part of the support you need, make it secondary to asking for prayer. Even if people can’t contribute financially, they can certainly still support you.

8. Ask for prayer. And be specific when you do. Give them 4 or 5 things they can pray for, for example: the community and ministries you are visiting, your team, your travels, etc. (If you wrote a team covenant, there is probably some great things to pray for in there!)

9. Be humble and respectful. Don’t make the place you’re headed seem destitute in an effort to make your mission trip sound more significant. Remember that Jesus is the hero, not your team. Use language that honors what God is already up to in the place you are headed. Use phrases like, “serve alongside,” “partner with” and “learn from.”

10. Say thank you. A great way to end your mission trip support letter is with gratefulness for the people you are asking to partner with you in this mission trip. Thank them in advance for whatever way they choose to support you.

Intentionally pick your people. Don’t forward your mission trip support letter to all your Facebook friends. Instead, take 10 or 20 minutes to think through whom you should send your support letter to. A few groups of people to consider include family, friends (even if they don’t have money to give you), people you know from church, people you know from school, people you want to invite to know you better, etc.

Don’t overload someone. When requesting financial support coordinate with your team to make sure the same family in your church doesn’t receive 20 letters from 20 different mission trippers.

  Use snail mail. It’s easy to forget the attachment to a Facebook message, but there’s something meaningful about getting a mission trip support letter in the mail. When you put it in an envelope you could even include a separate picture asking for prayer during your trip. Who knows – you might wind up on someone’s fridge. 🙂

Consider print quality. If you’re printing your letter or picture, make sure you use a printer that doesn’t make your letter look like it’s from the 1980s. Maybe your church or a friend can help, and if not them, invest a little money at a local print shop. It’s worth the extra trouble.

Sending mission trip support letters is an important part of your mission trip process. They begin a story that you get to continue telling after the trip! Include others in your story by writing a really great support letter.

Sample Mission Trip Support Letter

Dear loved one, Can you imagine being a small child and losing your parents and entire village to a ravenous disease? This heartbreaking event has really occurred and God has led me to go to this place and bring comfort to those left behind. I’m writing my dearest friends and family and asking for support on this endeavor. I will be leaving on July 17 and will return on August 2nd. I will be joining the Morning Light Baptist Church on a trip to the Sudan. During our time, we have a few goals we want to meet. Build an orphanage for the children Make clinic rotations through the camp Comfort and feed the remaining villagers Teach the Sudanese about Christ Build relationships with nearby Christians asking them to continue our work I need your help to make this happen. The cost of my trip to the Sudan is $3,000. Can you give any amount to help me reach my destination? Even if you can’t, I ask for your prayers before and during my trip. If you can give, please send your check to: Morning Light Baptist Church. I’ve included my picture and an enevelope in this letter. The envelope is pre addressed with the church’s address. The picture is me! I ask you to place my picture on your refrigerator so you will remember to pray for me every day. Thank you in advance for all you are doing! God bless you!

  • Start your journey with a blog. Visit websites like Weebly, Blogger, or Thoughts.  Build your blog, adding pictures of yourself, your destination and your church. Include a countdown to departure and leave information on how friends can support you. Blog as often as possible sharing your excitement with those that can’t go. Include your blog address on all correspondence you send.
  • Make a list of family and friends who may support you. Include everyone you can think of.
  • Write a letter (see the sample below) and send one to each family member.
  • Visit your pastor and tell him or her about your trip. Tell why you want to go and how important this trip is to you. Ask the pastor’s permission to share your mission news with the church. Arrange with the pastor a method for church members to give specifically to support your trip.
  • Host a “missions party” in your home. Invite neighbors and friends who want to know more about your trip. Serve cookies and coffee then show photos of your destination. Tell guests how they can support your missionary work.
  • Send thank you notes to everyone who gives.
  • Use creative methods to make up the difference. Sell t-shirts you design yourself using CafePress. Bake cakes, hold yard sales, offer to work for funding.

Fundraising Steps for Churches

  • Ask the missionaries to share briefly with the church what the goals of the mission trip are.
  • Introduce the missionaries to the church and allow each missionary to share their name and why they want to go.
  • Set aside a few offerings a month to go towards missions.
  • Arrange church-wide events to raise funds like car washes or spaghetti dinners
  • Give status reports regularly to report the progress of the mission support.
  • Send letters on church letterhead to family members of the missionaries to get the support they need.
